Equipment items can be created independently of the fixed asset module, without any link to a work center or machine center either. This makes it straightforward to bring equipment into the maintenance program quickly, without depending on accounting to create records first.

Creating Equipment Items Without Fixed Assets

A Maintenance Equipment Item in Microsoft Dynamics 365 Business Central is simply an item record with an item usage type of Maintenance Equipment. It can be created directly from the item list or through the maintenance equipment item setup process, and it requires only basic information such as a description and the relevant posting groups. Once created, maintenance tasks can be assigned to it and work orders can be generated against it immediately. This is particularly useful for low-value equipment that accounting would never track as a fixed asset, such as calibration tools, small power tools, test equipment, portable measuring instruments, or support machinery. These items still benefit from scheduled maintenance and work order tracking, but they do not warrant a depreciation schedule or an accounting entry.

When a Fixed Asset Link Adds Value

Linking a maintenance equipment item to a fixed asset is optional but worthwhile when the equipment is significant enough for accounting to track. When the link is established, maintenance costs posted against the work order are captured in BC as fixed asset costs, giving the finance team a full picture of operating and maintenance expenses for that asset over its life. This connection also allows the fixed asset’s serial number to carry over to the equipment item automatically.

When a Work Center Link Adds Value

Similarly, linking equipment to a work center or machine center allows Maintenance Manager to automatically update runtime and output count intervals from production posting, and to block off capacity on that resource when maintenance is scheduled. This link is also optional and is most relevant for production equipment directly tied to manufacturing operations. For equipment that has no relationship to BC’s production module, the standalone equipment item record is entirely sufficient.
