Can Warehouse Insight scan item numbers and bin codes from labels that have no barcode?

One of the biggest barriers to adopting mobile warehouse management in Microsoft Dynamics 365 Business Central is the labeling project that seems to come first. You might have hundreds of bins with printed labels but no barcodes, or product that arrives with lot numbers printed only as human-readable text. Warehouse Insight can read that text directly, so you can start scanning before every label in the building has a barcode.

How barcode-free scanning works

With barcode-free scanning, the worker points the handheld device at printed text, and Warehouse Insight reads it nearly as quickly as it would read a barcode. That works for bin codes on existing bin labels, item numbers on product labels, and lot or serial numbers printed on cartons.

On a receipt, for example, a worker can point the device at the item number on a label, and Warehouse Insight brings up the matching receipt line. If the application is configured to show the item picture, the worker sees immediately whether the item on screen matches what is in their hand. If the text was misread, the error is caught before it propagates into Business Central.

Handling custom text formats

Labels often combine information, such as an item number followed by a lot number. Warehouse Insight uses barcode rules to interpret custom formats, and the same rules apply to scanned text. If no rule matches, the device prompts the worker to cross-reference the scan to an item or barcode. Setting up a rule for a format such as item number, space, lot number is a configuration task, not a customization.

Printing barcodes as you go

Barcode-free scanning works well alongside label printing from the handheld. After a worker scans text and enters a quantity on a receiving line, Warehouse Insight can print the barcode labels that line needs. Over time, your warehouse moves from text to barcodes without stopping operations for a dedicated labeling project. Where vendors already provide UPC, GS1, or custom barcodes, Warehouse Insight reads those as well.

Hardware requirements

Text scanning is not tied to a specific Warehouse Insight release, but it does depend on the scanner. Many newer rugged handheld devices support it, but not every scanner model does, including some current ones. If text scanning matters to your rollout, confirm compatibility for your specific device model with Insight Works or your Business Central partner before buying hardware.

RFID as another option

For operations that want to move away from line-of-sight scanning entirely, Warehouse Insight also supports RFID for batch scanning. Insight Works has a video on its website and YouTube channel that covers how RFID works with Warehouse Insight.

Bottom line

Barcode-free scanning lets you start mobile warehouse management in Business Central with the labels you already have. Workers can read bin codes, item numbers, and lot numbers from printed text, confirm matches visually, and print barcode labels along the way. Confirm that your scanner hardware supports text scanning before you plan around it.
