Business Central shipping, out of the box, records who carried a shipment and how long it should take, but it does not talk to the carrier. Microsoft Dynamics 365 Business Central ships goods through posted sales shipments, warehouse shipments and transfer orders, and it stores a Shipping Agent, a Shipping Agent Service and a package tracking number against each one. Rates, labels and tracking numbers still come from somewhere else. This article explains what the standard shipping fields do, where they stop, and what an integrated shipping app adds when the carrier website becomes the slowest step in the day.
What does Business Central do for shipping without any add-on?
Standard Business Central handles the inventory and accounting side of a shipment completely, and it describes the carrier side without executing it. When a warehouse posts a sales shipment, Business Central relieves inventory and creates a posted sales shipment. On locations set up with Require Shipment, the same posting runs through a Warehouse Shipment document, often after a Warehouse Pick has been registered.
The carrier-related fields sit on the sales order header and the warehouse shipment: Shipping Agent Code, Shipping Agent Service Code, Shipping Time and, on the posted document, Package Tracking No. Those fields are descriptive. Business Central knows you intend to use a particular agent and service; it does not know what that service costs today or which tracking number the carrier just issued.
Microsoft’s setup guidance describes it in exactly those terms: “You can set up a code for each of your shipping agents and enter information about them.” That page, how to set up shipping agents in Business Central, is the starting point for a first configuration.
What are Shipping Agents and Shipping Agent Services in Business Central?
A Shipping Agent is a carrier record, and a Shipping Agent Service is one of that carrier’s service levels with a shipping time attached. The Shipping Agents page holds a code, a name, an account number and an Internet Address for package tracking. Under each agent, the Shipping Agent Services page lists services such as ground or next-day, each with a Shipping Time formula, for example 2D for two days.
Two things make these records worth setting up carefully:
- Order promising. Microsoft notes that once “you have assigned a shipping agent service to a sales order line, the shipping time of the service will be included in the order promising calculation, for that line.” A wrong shipping time on the service produces a wrong promised delivery date on every order that uses it.
- Package tracking. The Internet Address on the Shipping Agent card is a URL template. When a user types the carrier’s number into Package Tracking No. on a posted shipment and chooses Track Package, Business Central opens the carrier’s tracking site with that number filled in. Microsoft’s package tracking guidance for Business Central puts it plainly: “Choose the Track Package action to open the shipping agent’s package tracking service.”
A first-hand detail: Shipping Agent Code and Shipping Agent Service Code default from the Customer Card onto new sales orders, so a stale service on the customer record reaches every order.
Where does standard Business Central shipping stop?
Standard Business Central stops where a person has to leave it to finish the shipment. It does not:
- Retrieve a rate from any carrier, so nobody can compare carriers or services on price before choosing one.
- Print a carrier-compliant shipping label. The Shipping Agent Service is a code, not a label format or a carrier account connection.
- Fetch a tracking number. Package Tracking No. is typed in by a person after the label is produced elsewhere.
- Build packages. Business Central knows what quantity shipped, not how many boxes it went in or what each box weighed.
- Add a freight charge to the order based on the actual carrier cost. A freight line can be added manually, but the number comes from a screen in another system.
In practice, this creates a two-system workflow at the packing bench. The packer reads the order in Business Central, retypes the address into a carrier website, prints the label there, then returns to Business Central to type the tracking number. Every retype is a chance for a transposed digit, and the mistake surfaces when the customer calls.
What does integrated shipping add to Business Central?
Integrated shipping connects the Business Central shipment to the carrier so that rating, labeling, tracking and freight charging happen from the order or warehouse shipment. The comparison below shows the boundary. Standard Business Central handles the left column completely; the right column is where a shipping app works.
| Shipping task | Standard Business Central | Integrated shipping app |
|---|---|---|
| Record the carrier and service on an order | Shipping Agent and Shipping Agent Service codes | Same codes, mapped to a live carrier account |
| Compare carrier prices before shipping | Not available | Rate shopping across configured carriers and services |
| Validate the ship-to address | Not available | Address validation before the label is requested (Dynamic Ship) |
| Produce the shipping label | Not available; label comes from carrier software | Label generated from the order or warehouse shipment, as PDF or sent to a label printer |
| Record the tracking number | Typed into Package Tracking No. | Written back to the order and shipment automatically |
| Add a freight charge | Manual line, price from another system | Freight line added at actual or marked-up cost |
| Track the package later | Track Package action opens the carrier site | Tracking number already on the document; branded tracking pages and emails on Dynamic Ship |
| Build and weigh packages | Not modeled | Package lines with dimensions and weight; barcode-verified packing on Dynamic Ship |
Insight Works offers two apps on this side of the table, aimed at different shipment types. The full shipping apps hub for Business Central lists both together with the carrier connectors they use.
Order Ship Express: domestic parcel from the sales order
Order Ship Express is the narrow option: domestic parcel shipping from the sales order, with rate shopping across up to three carriers at a time. This is a completely free app from Insight Works for Business Central. On the sales order, a Create Shipping Labels action opens package entry as lines per box, with dimensions and weight. Get Rate returns the carrier prices; Get Label produces the label, writes the carrier tracking number to the order, and adds a freight charge line at a per-carrier markup you set in Order Ship Express Setup, with the actual cost recorded alongside.
The limits are deliberate. Order Ship Express is parcel only, domestic only (any country, but within that country), works from the sales order rather than the warehouse shipment, and does not validate addresses or build pallets. For a business shipping a handful of parcels a day with two or three carriers, that scope is often the whole requirement, which is the point of free parcel shipping for Business Central.
Dynamic Ship: parcel, LTL and international from the order or warehouse shipment
Dynamic Ship is the full version of the same idea. It rate shops across parcel, LTL and FTL carriers at the sales order or Warehouse Shipment level, validates addresses before a label is requested, builds packages manually or automatically, and includes a barcode-driven Package Worksheet that verifies each item scanned into a box. Freight price rules let you mark up, discount, fix or cap the freight charge by customer, customer price group or campaign, down to the shipping agent and service level, with a minimum order total as an optional trigger; the price lands on the sales order freight line while the actual carrier cost stays recorded separately. Return labels, customs documents and bills of lading are part of the same app.
Dynamic Ship reaches carriers through pluggable connectors, listed by name on the shipping apps hub, and it is licensed per shipping location rather than per user, so several packing stations in one warehouse fall under one location. It runs on both Business Central online and on-premises. The connector itself is a separate agreement with the connector provider, not with Insight Works. The app page for multi-carrier shipping for Business Central covers the feature set in detail, and the article on shipping rate shopping for Business Central explains what comparing carriers per shipment changes.
Which shipping approach fits which warehouse?
Choose based on shipment type and where your packers work, not on company size:
- Everything is domestic parcel, and the order is the natural place to ship from. Start with Order Ship Express. It costs nothing to try and replaces the carrier website for the most common case.
- You ship pallets, freight or international, or you pack against Warehouse Shipments. Dynamic Ship is the fit, because LTL quoting, bills of lading, customs data and warehouse shipment integration are outside Order Ship Express.
- You need both. The two apps can run side by side in the same company. Accounting can produce a parcel label from a sales order with Order Ship Express while the warehouse runs Dynamic Ship against warehouse shipments.
- Your warehouse already scans. Dynamic Ship has a documented handoff from Warehouse Insight: a pick registered to a license plate on the handheld arrives in the Package Worksheet as already packed, and the carrier label, packing slip and bill of lading can be triggered from the same device.
Frequently asked questions about Business Central shipping
How do I ship from Business Central?
Post a sales shipment from the sales order, or post a Warehouse Shipment on locations that require one. Standard Business Central records the Shipping Agent, service and tracking number you type in; an integrated shipping app produces the label and tracking number from the same document.
Does Business Central print shipping labels?
Not on its own. Business Central stores the Shipping Agent and Shipping Agent Service codes, but a carrier label requires a connection to the carrier. Order Ship Express and Dynamic Ship generate labels from Business Central, either as a PDF or direct to a label printer through the PrintNode Connector PowerTool. This is a completely free app from Insight Works for Business Central.
Can Business Central get carrier rates?
Standard Business Central has no rating capability; the Shipping Agent Service carries a shipping time, not a price. Order Ship Express compares up to three carriers per shipment, and Dynamic Ship rate shops across parcel, LTL and FTL carriers from the order or warehouse shipment.
Does an integrated app replace the Shipping Agent setup?
No. Both apps map carriers and services to the standard Shipping Agent and Shipping Agent Service codes, so order promising and the Track Package action keep working, and the tracking number lands in the standard Package Tracking No. field.
Do I need a warehouse app to use a shipping app?
No. Order Ship Express works from the sales order with no warehouse app. Dynamic Ship does not require one either; where Warehouse Insight is in place, the documented handoff carries picked license plates into the Package Worksheet.
