VIPA Hellas: Achieving Container-Level Inventory Visibility and Warehouse Accuracy with Business Central and Insight Works

About VIPA Hellas

Established in 2013 and headquartered in Athens, VIPA Hellas is a member of the VIPA Group and a leader in trading and managing recovered, non-hazardous recyclable materials, paper, board products, and pulp. The company operates in a container-driven environment, with yearly trading quantities exceeding 450,000 tonnes.

Challenges: Business Central Gaps for a Recycling Operation

VIPA Hellas ran a separate warehouse management system alongside its ERP with no integration between the two, forcing staff to manually reconcile data across systems. Inventory counts required multiple staff and took two to three days to complete, and barcode generation happened outside Business Central entirely, creating a risk of duplication. Working with BEWISE SA, the goal was to unify both systems into a single, container-aware environment built around how VIPA Hellas actually operates.

“We identified that Insight Works apps would address most of VIPA’s operational requirements with minimal custom development. This enabled us to focus on the container-specific business processes while relying on Insight Works’ proven solutions for warehouse management.”

— Antonis Kakavas, ERP Technical Lead, BEWISE SA

Solution: How VIPA Hellas Extended Business Central Across Warehouse, Inventory, and Data Operations

VIPA Hellas deployed five Insight Works applications alongside Microsoft Dynamics 365 Business Central Cloud, complemented by a custom container visibility interface developed by BEWISE SA, to address container-level traceability, warehouse execution, inventory allocation, inventory counting, barcode management, data operations, and cloud printing.

  • Real-Time Warehouse Execution and Container Traceability
Warehouse Insight is used by the warehouse team on mobile devices to execute receipts, put-away, picks, movements, and shipping in real time from the floor. This replaced the disconnected WMS with full visibility at item, lot, and container level.
  • Container-Level Inventory Visibility and Allocation Decision Support
BEWISE SA developed a custom interface within Business Central, accessible directly from Sales, Purchase, and Transfer Orders, giving users a consolidated view of available containers, lot contents, quantities, and reservation data. Staff can quickly see whether a container is already committed to a customer or order, enabling informed allocation decisions without manually reconciling stock across multiple pages.
  • Structured Inventory Counting with Automated Reconciliation
Advanced Inventory Count is used by inventory staff to conduct structured physical and cycle counts with multi-user entry, flexible count sheets, and automated lot and serial number reconciliation. Counts that previously took two to three days now complete in a matter of hours, with fewer staff involved.
  • Standardized Barcode Generation Across Container Workflows
Barcode Generator PowerTool. This is a completely free app from Insight Works for Business Central. It is used by VIPA Hellas to embed 1D and 2D barcodes into Business Central reports and documents, aligning barcode generation directly with container-based scanning workflows.

  • Accelerated Bulk Data Operations
Import Export PowerTool. This is a completely free app from Insight Works for Business Central. It replaced manual and workaround-dependent data handling with structured, validated import and export operations directly within Business Central.

  • Direct Cloud Printing for Labels and Operational Documents
PrintNode Connector PowerTool. This is a completely free app from Insight Works for Business Central. It enables direct printing of barcode labels and reports to local and network printers. Running Business Central in the cloud had introduced printing requirements that standard browser output could not address, and this app removed the PDF conversion step entirely.

Together, these apps work as a single, container-aware extension of Business Central, connecting warehouse execution, inventory allocation, counting, barcode generation, and printing into one consistent operational environment.

A Container-Focused Implementation Built on Operational Translation

VIPA Hellas deployed the solution in Q2 2025, with BEWISE SA leading the engagement end to end. The most demanding aspect of the project was translating VIPA’s container-based operational model into structured system workflows, since the business’s existing processes had grown up around the limitations of two unconnected systems rather than around a single, coherent design.

Despite that complexity, user adoption went better than expected; staff adapted quickly, aided by the clearer structure the new environment provided.

The deployment was rated five out of five by the client, and Antonis Kakavas of BEWISE SA noted that Insight Works apps addressed key operational requirements for VIPA Hellas, with minimal custom development, freeing his team to focus on the container-specific business logic rather than rebuilding standard warehouse functionality.

Results: Real-Time Visibility, Faster Counts, and a Unified Operation

VIPA Hellas reported measurable improvements across inventory management, warehouse execution, and operational efficiency following the deployment.

  • Inventory counts reduced from two to three days to a matter of hours, completed by fewer staff with greater accuracy
  • Full container-level traceability established across all warehouse processes, resolving the core visibility gap the previous setup could not address
  • Container inventory and reservation data consolidated into a single allocation view, accessible directly from Sales, Purchase, and Transfer Orders
  • Warehouse operations fully digitized and executed in real time through mobile devices, replacing a disconnected, partially manual environment
  • Picking accuracy improved through barcode-driven workflows, reducing manual errors in outbound processes
  • Barcode generation standardized within Business Central, eliminating duplication risk from off-system processes
  • Bulk data operations accelerated, with reduced manual effort and improved consistency across the system
  • Cloud printing enabled directly from Business Central, removing the PDF conversion step for labels and operational documents

Taken together, these changes moved VIPA Hellas from a fragmented, manually reconciled environment to a single, real-time system of record for container-based operations.

“Before implementing the solution, we struggled with limited visibility and control over our container-based warehouse operations. With Warehouse Insight and the supporting apps, we now have real-time, structured processes and full traceability across all operations. The improvement in accuracy and efficiency has been significant. We would definitely recommend this solution to businesses with complex warehouse and container management requirements.”

— Charalampos Chatzidamianos, CFO, VIPA Hellas

From Disconnected Systems to a Unified, Container-Aware Operation

By extending Business Central with Insight Works applications, VIPA Hellas moved from a fragmented setup running a separate WMS alongside its ERP to a single, container-aware operation with real-time visibility at every stage. Inventory counts that once consumed two to three days now take hours, and allocation decisions that once required manual reconciliation across systems are now made from a single consolidated view.

The implementation demonstrates what becomes possible when warehouse systems are built around the actual shape of a container-driven business rather than retrofitted onto it. VIPA Hellas now has a foundation it can build on as its operations continue to scale.
